The GTIN ranges which have been bought by you as a company can be added to SyncForce. This gives you the possibility to keep track on which GTINs are used and which are still available.
The GTIN ranges which have been bought by you as a company can be added to SyncForce. This gives you the possibility to keep track on which GTINs are used and which are still available.
When you've not added the GTIN range to SyncForce but enter the GTIN when you add the product manually to SyncForce or deliver it in the import file, this individual GTIN will be added to the GTIN pool in SyncForce. You can also use the GTIN pool in this case to check the availability of the GTINs.
Add GTIN range to SyncForce
Check if you would like to auto generate Article Numbers based on the GTIN. These Article Numbers will be assigned to the product if you assign the GTIN. See this paragraph.
- Sign in to SyncForce
- Go to Manage Product Portfolio
- Go to Product Data » Settings » GTIN Pool
- Click on 'Add range'
- Select the GTIN type (8, 12 or 13 characters)
- Enter the Company prefix
- Click on 'Save'
On 'Save', all GTINs which can be generated for this Company prefix, are generated.
Generate Article number based on GTIN
You can decide to assign an Article number to your products / shipping units based on the GTIN which is assigned. This Article number will be the auto generated Article number when the GTIN range was added to the SyncForce GTIN pool.
Settings for generating Article numbers when GTIN range is added to GTIN pool:
- What is the length of the Article number? {number of characters}
- The Article number is generated based on the last X characters of the GTIN including the check digit (last digit).
- Is the Article number allowed to start with a 0? {Yes, No}
- This can be useful if the Article number is a numeric field in your ERP system for example.
- If this is on 'Yes', a GTIN range cannot be generated in case there is a '0' in the company prefix and thus this will imply that the generated article numbers would start with a '0'.
Important
When the 'Generate Article number based on GTIN' settings are set AFTER the GTIN range has been added to SyncForce, these GTINs will NOT get an auto generated Article number. Contact your SyncForce Implementation Partner if that's needed.
Assign GTIN to product
On assigning a GTIN to a product or shipping unit (manually or via import), you can choose to either select a GTIN from the GTIN pool (see this paragraph on how to add a GTIN range to the GTIN pool) or enter the GTIN manually. This individual GTIN will be added to the GTIN pool in SyncForce. You can also use the GTIN pool in this case to check the availability of the GTINs.
Difference between Own GTIN and Third party GTIN
A product can be produced commissioned by another third party. For example a manufacturer creates products for “Albert Heijn”. The Albert Heijn will deliver the GTIN that needs to be on the product. On creating a product / shipping unit, the user can manually add this third party GTIN to the GTIN pool. All GTINs bought by the customer himself are his “own” GTINs.
Special case for shipping units
For shipping units it's possible to assign a GTIN-14 based on the GTIN-13 which is used on the product which is part of this trade hierarchy.

In SyncForce it’s only possible to assign GTIN-14’s to shipping units and more in specific shipping units which contain only 1 type of product. A GTIN-13 should be assigned to a shipping unit if it contains more than 1 type of product.
Reserve GTINs
GTINs which are reserved for specific situations can be marked as 'Reserved' with a comment assigned. For example all GTINs starting with a specific part of the company GTIN range prefix are reserved for a specific Brand. The Product Managers will see this reservation comment and decide to use / not use this GTIN.
Contact your SyncForce Implementation Partner to get these GTINs on 'Reserved'.
Block GTINs
GTINs which are already in use for items which are not managed in SyncForce for example, or for another reason can be 'Blocked' with a comment assigned. This means that these GTINs cannot be used by Product Managers to assign to products.
Contact your SyncForce Implementation Partner to get these GTINs on 'Blocked'.
