I want to make another project the lead project in a business case, but I cannot select that project?

Step by step explanation on how to make another business case the lead project.

Projects can share a business case. This is available for projects which belong to the same program. A project can only have 1 business case.

Situation

There is a business case for 2 or more projects in a program. The lead project in the business case which is shared is killed and another project should become the lead project.

The gate decisions are made on business case level. This is a setting per customer and this setting is responsible for blocking changing the lead project.

Restriction

Because the gate decisions are made on business case level, the lead project in a business case needs to have the same or more gates as all other projects in the business case.

When the current lead project for example has 3 gates and the project which needs to become the new lead project, has 4 gates, the new project can not be assigned to the existing business case.

How to solve this

The new project, which has more gates than the old project (which got killed), needs to get it's own business case. The projects assigned to the business case where the old project is the lead project need to move over to the business case of the new project. This can be done by unlinking these projects from the old business case and linking them to the business case of the new project.

The old project keeps it business case but the running projects will use the business case from the new project.

Example

  • Project A and B are an EPD project and have 3 gates.
  • Project C is an NPD project and has 4 gates.
  • All 3 projects are linked to Program X.
  • Project A and B share a business case. Project A is the lead project.
  • Project C has it's own business case.
  • Project A gets killed and Project C needs to be the new lead project.
  • Make sure that Project C has it's own business case.
  • Go to the business case of Project A (which got killed).
  • Click on the 'Cogs' (Settings) button to the right of the business case type and open the 'Share settings' option.
  • Click on the 'Unlink' icon for Project B (which is still running).
  • Go to the business case of Project C.
  • Click on the 'Cogs' (Settings) button to the right of the business case type and open the 'Share settings' option.
  • Click on the 'Link' icon for Project B.
