How to use the To do list in the Project Manager?

The To do list in the Project Manager has 2 sections 'Tasks' and 'Actions'. 'Tasks' are the project tasks the user has to work on and 'Actions' are the actions as shown on the landing page.

The To do list in the Project Manager has 2 sections:
  • Tasks
    • The To do list section 'Tasks' lists all tasks from projects a user needs to work on. So when you go to the Project, go to 'Tasks', these tasks are listed in the To do list - Tasks. See details in this paragraph.
  • Actions
    • The To do list section 'Actions' lists all actions which are the actions as shown on the landing page in the 'My actions' widget. See details in this paragraph.

Tasks


The user can choose to only show the tasks which can already start or to also already show the tasks (s)he cannot start on yet but will give the user an idea of all tasks which are planned for the coming days/weeks.

Tasks which can start already

  • All tasks which have the status ‘Planned’ or ‘In progress’ AND which are in a ‘Running’ stage AND are in a ‘Running’ project
  • AND to which I’m assigned as task resource
  • AND I have access to the project (see documentation)
  • AND for which all predecessor tasks are completed or cancelled (if applicable)

Tasks which cannot start yet

  • All tasks which have the status ‘Planned’ or ‘In progress’ AND which are in a ‘Planned’ or ‘Running’ stage AND are in a ‘Running’ project
  • AND to which I’m assigned as task resource
  • AND I have access to the project (see documentation)
  • AND for which all predecessor tasks are not yet completed or cancelled (if applicable)
The tooltip on the Start / Complete task button indicates why the task cannot start yet.

Period - Rolling date range (Next [x] days)

  • Defines which tasks a user needs to work on 'Today', 'Next 30 days', etc
  • This means that the start date needs to be before or in the selected period and the end date also needs to be in the selected period or after.
  • And all tasks which are overdue are shown

Period - Before date X

  • Defines which tasks a user needs to work on in the period between today and the selected date
  • This means that the start date needs to be before or in the selected period and the end date also needs to be in the selected period or after.
  • And all tasks which are overdue are shown

Actions

The list of actions are the actions as shown on the landing page in the 'My actions' widget. These actions are created for:
  • Invoices which require your approval
  • Purchase orders which require your approval
  • Purchase orders which need to be raised by you
  • Monthly purchase orders which need to be raised by you
  • Request for quotations for which a quotation can be submitted
  • Quotations which require your approval
  • Documents / Artworks which require your approval
  • Product specs for a preliminary product which is no longer preliminary can be published to GS1
