How to replace the file for an existing digital asset with a new revision?
There are two options: Per individual digital asset in Manage Digital Assets or in bulk via the Dropbox, Google Drive, OneDrive integration.
Via the Digital Asset Manager
If a digital asset already exists in SyncForce and you want to upload a new file revision (for example because a better photo is available), you can do this directly in the Digital Asset Manager for the individual asset.
-
Sign in to SyncForce.
-
Go to Manage Digital Assets.
-
Open the specific digital asset.
-
Go to the Files tab.
-
Click the + Rev button for the relevant file type.
-
If the thumbnail also needs to be updated, select the checkbox Update thumbnail based on this file (check before uploading file).
-
Upload the file and wait until it is fully uploaded.
-
Click Close.
A new file revision has now been uploaded for this digital asset.
Bulk upload of new file revisions for multiple digital assets at once is not yet available. Contact your SyncForce Implementation Partner if you would like to explore this option.
Via the Dropbox / Google Drive / OneDrive integration
When digital asset files are delivered via the Dropbox, Google Drive or OneDrive integration with SyncForce, files that have the same name as previously delivered files can be added to the existing digital asset as a new revision.
For this to work, the following requirements must be met:
-
Folder configuration
The folder in which the digital asset files are delivered (in Dropbox, Google Drive or OneDrive) must be configured with the setting Update digital asset if original file name match.
-
You can verify this in the FileConvert and AutoConversion configuration reports.
-
If these reports are not yet available for you to generate (via Manage Digital Assets » Exports & Reports), contact your SyncForce Implementation Partner to have this configured.
-
-
Unique original filename
There must be exactly one digital asset with the same original filename as the newly delivered file. If more than one digital asset is found with that original filename, the delivered file will be created as a new digital asset, because it is unclear which existing asset should be updated.
-
If there should be only one digital asset with this original filename, run the digital asset files report to check which assets share the same original filename.
-
Correct the situation by either:
-
Updating one of the digital assets with a new file revision that uses a different filename, or
-
Deleting the duplicate digital asset if it is no longer needed.
-
-
If you cannot access the required reports under Manage Digital Assets » Exports & Reports, contact your SyncForce Implementation Partner to enable and configure them.
