How to give a new person access to SyncForce?

The user follows the registration process or a User Administrator creates a New internal user (via Quick actions / star in menu) or a User Administrator creates a New employee / New external contact in Manage Contacts & Users.

There are 3 ways to give a new person access to SyncForce:

  1. Via the registration process
  2. Via 'New internal user' via the 'Quick actions' option (star icon) in the menu top right in the page
  3. Via 'New employee' or New contact' and then 'Create user account'

Via the registration process

The person who would like to get access to SyncForce goes to [customer].syncforce.com, fills in his/her email address and gets informed that there is no user account yet for this email address. If the registration option is turned ON for this customer, the user can start the registration process. Check out this documentation on the different messages a user can get on the sign in page.

In the registration process, the user either connects his/her corporate single sign on user account to his/her new to receive SyncForce portal user account (often used for internal users) or the user connects his SyncForce user account to his/her new to receive SyncForce portal user account (often used for external users but can be internal users as well).

Via 'New internal user' via the 'Quick actions' option (star icon)

Giving a person access to SyncForce can also be done by a User Administrator. This option via the 'New internal user' via the 'Quick actions' option (star icon) in the menu top right of the page is to be used to give internal people access to SyncForce.

This 'New internal user' option makes sure that if there is a Corporate Authentication system setup (a corporate SSO), the new user must sign in via this authentication system. This is to prevent that new users are to be created with SyncForce as the authentication system and whenever the person will leave the company, the access to SyncForce is not automatically deactivated.

This User Administrator will sign in to [customer].syncforce.com and click on the 'star' top right in the menu. The rest of the process is a wizard like process.

This option cannot be used for internal users which do not have a Corporate SSO account and need to sign in to SyncForce with their SyncForce user account (via the SyncForce Authentication System).

Via 'New employee' or New contact' and then 'Create user account'

Giving a person access to SyncForce can also be done by a User Administrator. In the case it concerns an external user or an internal user which needs to sign in to SyncForce with their SyncForce user account (via the SyncForce Authentication System), this route needs to be taken.

  • Sign in to [customer].syncforce.com
  • Go to Manage Contacts & Users
  • For internal users:
    • Create a new employee (via button 'New employee')
  • For external users:
    • Go to Accounts / Partners
    • Create an account or select an account
    • Create a contact (via button 'New contact')
  • For all new users:
    • When the new employee/contact has been created, the user account needs to be created. Go to the User account tab and click on the button 'Create user account'.
    • Select the appropriate Authentication system for the user and click 'Save'.
    • The user will be informed via email on his/her new SyncForce portal user account. Based on the selected Authentication system, the user gets instructions in the email on how to proceed. 

Users will not receive a (temporary) password in the notification email. They are directed to the sign in page and need to set a password for their SyncForce user account if needed (Authentication system is set to 'SyncForce' and the user did not yet have a SyncForce user account for another customer).
