For which users will the brand rights change when updating brand permissions in bulk

Use the report 'Brand configuration' to get detailed insight in the current brand permissions per user and to predict the new brand permissions per user.

The brand permissions for users in SyncForce are defined for the following 3 areas:

  1. Project Management
    1. This means if the user can manage projects for these brands.
  2. Product Data Management
    1. There is a distinction between if the user has view rights only on this brand or if the user can also manage the products/materials for this brand.
  3. Catalogs & Libraries
    1. This means if the user can view items (products, digital assets, et cetera) for this brand.

Insight in current brand permissions per user

The standard SyncForce report 'Brand configuration' can be configured for you as a customer to get insight in which user has which brand permissions. Contact your SyncForce Implementation Partner if this report is not yet configured for you as a customer. This report is often configured in the Manage Contacts & Users area of SyncForce.

Update the brand permissions in bulk

When a new brand has been configured in SyncForce or when brand permissions change over time, it might be very useful to update the brand permissions in bulk across all SyncForce users. This option is available via the 'Platform settings' in the menu top right when signed in for SyncForce.

In 'Data Management » Brands', select the brand for which you would like to update the brand permissions for the users and click on 'Update brand permissions'.

In this example, the brand 'The Coffee' has been selected. The number of users which currently have access to this brand are listed per SyncForce area (Project Management, Product Data Management, Catalogs & Libraries).

To know exactly which users currently have brand permissions on this brand (and thus which sum up to the figures in the table), request a new 'Brand Configuration' report in SyncForce.

Open the XLSX report file and for example, go to the 'Project Manage users per brand' tab. Click in the first row and add a filter. Filter on the brand for which you would like to know which users have permissions on this brand. See the example below:

You can do this for every tab.

The 'Update brand permissions' functionality gives you the option to update the brand permissions for the selected brand by the brand permissions as set for another brand. 

So in the example below where the brand 'The Coffee' has been selected as the one to be updated and the brand 'The Brand' has been selected as the one to copy the brand permissions from.

This means that:

  • All users which currently have NO manage rights on The Coffee in Project Management yet but which have manage rights on The Brand in Project Management, will get rights on The Coffee. These users are displayed as '+3' in the example above.
  • All users which currently have manage rights on The Coffee in Project Management but which do NOT have manage rights on The Brand in Project Management, will loose their rights on The Coffee. These users are displayed as '-0' in the example above.

Also check out the additional information in this window by clicking on the 'i-icon' next to the title:

You can also use the report 'Brand Configuration' to know which users will gain rights and which users will loose rights.

In this example, next to the brand 'The Coffee', also select the brand 'The Brand' in the filter. Next step is to adjust the sort order. First on User, then on Brand:

  • The users which currently have rights on both Brands, will not be impacted.
  • The users which currently have rights on The Brand but NOT on The Coffee, will get rights on The Coffee.
  • The users which currently have rights on The Coffee but NOT on The Brand, will loose rights on The Coffee.

For changing the brand permissions for Product Data Management, the update is 1 level more complex since the user can have:

  • No access to the brand
  • View rights on the brand
  • Manage rights on the brand

In the example above, when the brand permissions for 'The Coffee' are updated with the brand permissions of The Brand, Alexej Guerra will get Manage rights on The Coffee.
